1. Roles
For the personal data your organisation puts into Venue Manager about its own customers and team (Customer Personal Data), your organisation decides why and how it is used and is the controller (or the equivalent under the law that applies to you). Sporfy Technologies Private Limited is the processor: it handles that data only to provide the Service to you. For data Sporfy collects about your organisation's account holders, Sporfy acts for itself; see the Privacy Policy.
2. What is processed
- Whose data: your players, students and trainees, parents and guardians, members, bookers and buyers, coaches, staff and volunteers.
- What data: names and contact details, bookings, attendance, class and membership records, fees and payment status, messages, forms, photos, videos and certificates, and other information you choose to record.
- Why and how long: to provide the Service to you for as long as your account is active and for the period after it ends described below.
3. Your instructions
We process Customer Personal Data only on your documented instructions, which are these terms, your use of the Service's features and your settings. If we think an instruction breaks the law, we will tell you. We will not use Customer Personal Data for our own purposes, and we will not sell it.
4. Confidentiality and security
People at Sporfy who can access Customer Personal Data are bound by confidentiality. We apply technical and organisational measures suited to the risk, including encrypted connections, role-based access, restricted access to production systems, protection of the credentials you connect, and logging of important actions. You are responsible for how your own team uses the roles and permissions the Service gives you.
5. Service providers (sub-processors)
You allow us to use service providers to process Customer Personal Data to deliver the Service. They fall into these groups: cloud hosting and storage, database hosting, email and message delivery, WhatsApp and other messaging providers you connect, payment and invoicing providers, and AI model providers for AI features. We bind them by contract to protect the data to a standard no lower than these terms, and we remain responsible for them.
We will give notice in the product or by email before adding or replacing a provider that processes Customer Personal Data in a significant way, so you can object on reasonable data protection grounds. If we cannot resolve the objection, you may cancel the affected plan.
6. Location
Customer Personal Data may be processed in India and in other countries where our providers operate. We use contracts and safeguards so that transfers comply with the law that applies.
7. Helping you with requests and duties
Many requests from your customers, such as access, correction or deletion, you can handle yourself in the Service. If you cannot, we will give reasonable help. If someone contacts us directly about data you control, we will pass the request to you and not answer it ourselves unless the law says we must. We will help you meet your duties on security, breach notification and assessments, taking into account the information we have.
8. Personal data breaches
If we become aware of a breach of security that affects Customer Personal Data, we will tell you without undue delay and give you the information we have so that you can meet your own duties, and we will take reasonable steps to contain and fix it.
9. Return and deletion
While your account is active you can export or delete much of Customer Personal Data in the Service. After the agreement ends we keep it for a reasonable period so you can export it or come back, and then delete or anonymise it, or sooner if you ask us in writing, unless the law requires us to keep it.
10. Information and audits
On reasonable request we will give you the information needed to show we meet these terms. If that is not enough, we will cooperate with a reasonable audit by you or an auditor you appoint, with notice, during business hours, under confidentiality, and so that it does not disrupt the Service or expose other customers' data. You bear the cost.
11. Liability
Each party's liability under these terms is subject to the limits in the Terms of Service. If you need terms that differ, for example because the law of your country requires a specific data processing agreement, contact us and we will work with you.
