1. Who this policy is for
Sporfy Technologies Private Limited (Sporfy) runs Sporfy Venue Manager. This policy explains how we handle personal data about: people who visit our website and marketing pages, people who book a demo or contact us, and the people in an organisation's team who sign up for and use the Service.
2. What we collect
- Account and team details: name, email, phone, role, organisation name and sign-in information for people who create or use an account.
- Organisation and billing details: plan, products, invoices, tax details such as GSTIN where you give them, and payment status. Card or bank details are handled by our payment partners; we do not store full card numbers.
- Demo and contact requests: the name, email, phone, venue or company, topic and message you give us, and the time you choose for a demo. If you book a demo, a Microsoft Teams meeting is created and the invitation is sent to your email.
- Use of the Service: which features are used, settings, support requests and messages sent to us, and technical information such as device type, browser, IP address and logs that help us keep the Service secure and working.
- Content you create in the Service is Your Data under the Terms of Service and is handled as described in the Data Processing Terms.
3. How we use it
- To provide, secure and support the Service, including creating accounts, running trials, billing and sending service messages such as invoices, renewal and payment reminders and security notices.
- To arrange and follow up demos and to reply to enquiries.
- To understand how the Service is used and improve it.
- To prevent fraud and abuse, enforce our terms and meet legal duties such as tax and accounting records.
- To send you product news or offers where you have agreed or the law allows. You can opt out at any time and we will still send the service messages above.
Where the law requires a legal basis, we rely on your consent, on performing our contract with you or taking steps you ask for before it, on our legitimate interests in running and securing the Service (balanced against your rights), and on legal obligations.
4. Who we share it with
We do not sell personal data. We share it only with:
- Service providers that help us run Venue Manager, under contract and only for our purposes: cloud hosting and storage, databases, email and messaging delivery, payment and invoicing providers, calendar and meeting tools used for demos, customer support tools and AI model providers used for AI features.
- Your organisation: if you are a team member, administrators of your organisation can see your account details and activity in the Service.
- Professional advisers, authorities and others where the law requires it, to protect rights, safety and security, or in connection with a sale or reorganisation of the business (and we would tell you).
5. Where data is processed
Sporfy is based in India and our service providers may process data in India and in other countries. Where data is sent abroad we do it in line with applicable law and use contracts and safeguards so that it stays protected.
6. How long we keep it
We keep personal data for as long as your account is active or we need it for the purposes above, and then delete or anonymise it within a reasonable time. We keep some records for longer where the law requires, for example invoices and tax records. Demo and contact requests are kept for as long as needed to follow up and for our records of the conversation.
7. Keeping it safe
We use technical and organisational measures suited to the risk, including encrypted connections, role-based access so people see only what their role allows, restricted access to production systems and secure handling of credentials you connect, such as your payment gateway keys. No system is perfectly secure; if a breach affects your personal data we will tell you and the authorities as the law requires.
8. Your rights
Depending on where you live, including under India's Digital Personal Data Protection Act, 2023, you may have the right to:
- know what personal data we hold about you and get a copy,
- have inaccurate data corrected or completed,
- have data erased when it is no longer needed, subject to what we must keep by law,
- withdraw consent you have given, as easily as you gave it,
- object to or limit certain uses, and
- nominate someone to exercise your rights if you cannot, and make a complaint.
To use a right, write to us using the details below or the contact form (choose Grievance or privacy request). We may need to confirm who you are first. If you are not happy with our answer, contact our Grievance Officer; you can also complain to the data protection authority that applies to you.
If your data is held in an organisation's Venue Manager account (for example as a student, member or parent), please ask that organisation first; we will help it respond.
9. Children
Our website and the Service are for adults acting for an organisation, and we do not knowingly collect personal data from children through them. Organisations that use Venue Manager for academies and junior programmes are responsible for the consent the law requires for children's data in their own records.
10. Cookies and similar technology
