Membership software for sports clubs

How to design membership plans, renewals and member access that run themselves, whether you sell hour packs at one venue or one pass across every space you run.

Memberships are the steadiest money a sports venue can earn. Members pay ahead, come back often and bring friends. But memberships also create work: plans to price, renewals to chase, rules to enforce and questions at the desk about who is allowed where.

Good membership software takes that work off your hands. This guide covers what to look for and how to set up plans that renew on time.

1. Know which kind of membership you sell

Sports memberships come in two broad shapes, and it helps to be clear which one you need.

Memberships tied to one space. A member buys hours or a period of access at one venue and books slots against it. Think of a badminton hall selling a 20-hour pack, or a turf selling monthly team plans. In Venue Manager these are slot memberships.

Memberships across your organisation. A member buys one pass that is honoured at every space you run. Think of a club with courts, a turf and a pool on different sites. In Venue Manager these are lifestyle memberships, priced once for the whole organisation.

Many clubs need both. A club-wide pass for social members, and hour packs for players who only want court time.

2. Design plans people understand

A plan should be easy to explain at the desk in one sentence. Start with a small set and add only when you see real demand.

  • Hour packs suit players who come at irregular times.
  • Period plans, monthly to yearly, suit regulars. You can include unlimited options.
  • Group plans suit families and teams. One pool of hours is shared, with a cap on members and an optional group discount.

Then set the usage rules: how many hours a member may use per day, how many slots they may hold, and which courts or pitches the plan covers. Rules that live in the system are enforced the same way every time, by every staff member.

For club-wide passes, you can offer several price options with different validity periods, show a strike-through price, and set a different price for renewing members. You can also set age rules per plan, so a junior pass only goes to juniors.

3. Let members serve themselves

The biggest saving comes when members stop calling you. With self-service booking, members pick their own slots from their hour pack, within the daily and slot limits you set.

Sign-up can be self-service too. Share a registration link on WhatsApp, or let people apply from your website. They fill in your form, with any custom fields you need, and you approve them from a pending list. You can collect the first fee by link at sign-up.

Tip: keep the sign-up form short. Ask only what you need to run the membership. You can collect the rest later.

Moving from another system or a spreadsheet? Bulk import brings existing members in, so you do not retype them.

4. Make renewals arrive on time

A membership that lapses quietly is revenue you lose without noticing. Look for:

  • A list of upcoming renewals, so nothing comes as a surprise.
  • Payment links you can send in one tap, paid into your own gateway.
  • Grace periods, so a member who pays two days late is not locked out.
  • Pause days and extensions, for injuries and holidays.
  • Tax invoices for every payment.

For club-wide passes you can fix the billing cycle, choosing the month and day each cycle starts. That keeps everyone on one calendar, which makes reporting much simpler. When a member's needs change, upgrade, downgrade or extend their plan without paperwork.

5. Member cards and access

Staff need to know, quickly, whether someone is a member and what they may use. With lifestyle memberships, each member gets a branded digital card in your colours. Staff can find any member by phone or email, across venues.

For slot memberships, the live queue shows members as they check in and out, and tracks the hours each one uses. That keeps hour packs honest without anyone keeping a notebook.

6. Watch who will renew and who will not

The best time to save a membership is before it lapses. The signal is usually simple: the member has stopped using it.

The slot membership dashboard compares hours bought with hours used, and lists under-users who are at risk of leaving. It also shows revenue by plan, renewal and retention, peak hours and how long sign-ups wait for approval.

Use the at-risk list each week. A friendly message to a member who has not booked in a while often does more than any discount.

7. Add the extras members ask for

Once memberships run smoothly, members ask for more. Two common requests:

Lockers. Create banks of lockers, assign them to members in bulk and renew a whole group in one step. See lockers.

Rewards. Run a loyalty programme under your own brand, with your own coin name, scratch cards and referrals that reward both the referrer and the new member. See coupons and loyalty.

8. Reports for the committee

Clubs often answer to a committee or partners. The lifestyle membership dashboard shows members, monthly revenue and pending payments, with day-wise, consolidated and partner settlement reports. If revenue is shared with partners, splits are recorded at each sale. Exports go to PDF or Excel.

9. Choosing a system

When you compare products, test these on a real plan of yours:

  1. Can a new member sign up, pay and get approved without calling you?
  2. Can a member book their own slot, and does the system stop them going over their limits?
  3. Do renewals, reminders and invoices happen without manual steps?
  4. Can you see who is at risk of not renewing?
  5. Does one pass work across all your spaces, if you need that?

You can try all of this on your own plans. Every paid Venue Manager plan is free for 15 days, with a 15-day extension you can take yourself inside the app. Slot memberships come with Slots plans from Professional, or as an add-on on Standard. See the pricing page for the current plans.
