Not every payment happens on your website. A parent pays the term fee at the gate. A team settles up after the match. A visitor buys a bottle of water at the counter. A player rents a racket for an hour.
These offline moments are where money leaks. Cash goes uncounted. Transfers arrive with no reference. Someone promises to pay later and forgets. This guide shows how to bring offline collections into the same clean system as your online sales.
1. Why offline collections go wrong
The problem is rarely dishonesty. It is that offline payments are not tied to anything. A transfer of a round amount could be a fee, a booking or a shop sale. Cash in the box could belong to any of a dozen orders. At the end of the month, nobody can match payments to what they paid for.
The fix is to make every payment, however it is made, belong to an order. Payment links and QR codes do that naturally.
2. Collect into your own account
Before anything else, decide where the money goes. Venue Manager connects your own payment gateway, so customers pay straight into your merchant account, not ours. You can use Stripe or PayPal worldwide, or PayU and Cashfree in India. Connect one gateway or several, and choose your default.
Every payment is confirmed automatically through a webhook, so a link that has been paid shows as paid without anyone checking a bank app. See own payment gateway.
3. Payment links: for anyone, anywhere
A payment link is a page tied to a specific amount and a specific order. Send it on WhatsApp, by email or by text. The customer opens it and pays by any method your gateway supports.
Links work well when the customer is not in front of you:
- Fees. Fee renewals go out with a link, and reminders carry the same link until it is paid. See fee renewals.
- Pending payments. Anyone who owes for a booking or a membership gets a link, instead of a phone call.
- Team bookings. Captains split the cost of an open game, with a link for each player.
- Instalments. Customers buying on EMI pay each instalment by link.
You can create single or multi-payment links. Staff can create and share links from the staff app, too, so a coach on the field can send one without going to the desk.
4. QR at the counter
When the customer is in front of you, a QR code is faster than a link. They scan, pay on their own phone, and the payment is recorded against the order.
Venue Manager supports desk QR payments with PayU. Offline QR is also available as an add-on on some plans; see pricing for which. Card swiping machines at the counter are coming soon.
5. One bill when people leave
At a busy venue, small charges pile up during a visit. Twenty minutes over time. A racket for an hour. An unpaid order from last week. Collect them one by one and something gets missed.
With the live queue, the desk sees everything a person owes when they check out: overtime, rentals and earlier orders, with discounts if needed. They settle it all in one payment, by cash, QR, card or link.
6. Stalls, shops and match days
Selling kit, food or merchandise brings its own rush. For this, quick sale turns a phone into a full counter. Add items, find or add the customer and take payment in one of five ways: QR, cash, payment link, EMI or credit confirmed by OTP.
Receipts print on a Bluetooth thermal printer from Chrome or Edge, or go to the customer on WhatsApp or email. For big events, each volunteer gets their own login link and PIN, and you see what each one sold and collected, split by cash, online, credit and EMI.
At the end of the day, owners get one daily digest: orders, units, revenue, refunds, top sellers and items still waiting to be handed over. See Sales campaigns.
7. When it has to be cash
Some customers will always pay cash. That is fine, as long as cash is recorded like everything else. Record it against the order at the moment it is received, never later from memory.
If someone pays part now and part later, record a partial payment against the bill. The balance stays visible until it is cleared. With per-volunteer totals, cash in the box can be checked against what each person recorded.
8. Reconcile every week
Set aside a short time each week:
- Open your pending payments and send links to anyone still owing.
- Check that the cash recorded matches the cash in hand.
- Look at the payment mix: how much came by QR, link, card and cash.
- Export the week's collections if your accountant needs them.
Bookings, fees, memberships and instalments all produce invoices, so your collections and your tax records match. For Indian businesses, read GST invoicing for sports spaces in India.
9. Where to start
Connect your gateway. Then pick the one offline payment that causes you the most trouble, whether that is fees at the gate, team bookings or the kit stall, and move it to links or QR first. Add the next one once that works.
